How automated late rental billing works and what owners are still responsible for when a rental becomes overdue.

Overview

TripCity now automates certain late rental charges to reduce manual collections and make overdue billing more consistent.

The system supports two main late-fee scenarios:

  • A $5 Short-Delay Late Fee during extension checkout when a driver is more than 4 hours late but less than 24 hours late.
  • A $10 Daily Auto Late Fee once a rental reaches 24 hours or more overdue.

The existing $25 Daily Late-End Fee remains a separate charge category.

Short-Delay Late Fee

If a driver attempts to extend a rental when it is:

  • More than 4 hours overdue
  • Less than 24 hours overdue

A $5 Short-Delay Late Fee is added during checkout.

The driver sees the fee before confirming the extension payment.

Automated Charges After 24 Hours

When a rental reaches 24 hours or more overdue, TripCity may automatically calculate and attempt to collect:

  • Additional rental charges
  • A $10 Daily Auto Late Fee
  • Transaction fees
  • Applicable taxes

Payment attempts use the driver's stored payment method.

The system also records whether each attempt succeeds or fails.

What Owners Can See

Late rental activity is itemized for easier review.

Depending on reporting availability, owners may see:

  • Additional rental charges
  • $5 Short-Delay Late Fees
  • $10 Daily Auto Late Fees
  • $25 Daily Late-End Fees
  • Successful payment attempts
  • Failed payment attempts
  • Refunds
  • Applicable taxes and transaction fees

Owner Responsibilities

Automated billing does not replace owner responsibility.

If a rental becomes late:

  • Contact the driver directly.
  • Request the vehicle back when appropriate.
  • Continue using TripCity chat to document communication.
  • Block extensions if payment is overdue.
  • Recover the vehicle if the driver remains unresponsive.
  • Report the vehicle stolen if recovery fails and the proper requirements are met.

Automated charges help with collections. They do not recover the vehicle for you.

If the Driver Pays and Extends

If the driver successfully completes an extension:

  • The rental end time updates.
  • Applicable short-delay or late fees are collected.
  • The rental returns to an active, current status.

Owners should confirm the updated end time in the dashboard.

If Payment Fails

If an automated payment attempt fails:

  • The balance remains outstanding.
  • The rental remains overdue.
  • The driver may be unable to extend.
  • The owner should continue recovery and communication efforts.

Do not rely on repeated payment attempts as a substitute for recovering your vehicle.

Reporting and Transparency

Late fees are categorized separately to improve reporting and dispute handling.

Fee categories include:
