Late Rentals - Owner Responsibilities
What owners must do when a rental becomes late and when TripCity may intervene.
When a Rental Is Late
A rental is considered late when the driver does not return the vehicle by the scheduled end time. TripCity assists with automated reminders, but owners are responsible for managing the situation and recovering their vehicle.
TripCity reserves the right to terminate a rental if excessive late days occur and there is no filed police report documenting a missing or unreturned vehicle.
Automated Late-Return Messaging
TripCity automatically sends late-return reminders to drivers when a trip becomes overdue.
These notifications continue until the driver:
- Returns the vehicle, or
- Extends the rental successfully.
Automated messages are meant to help, but they do not replace owner action.
Owners must still follow up directly with the driver.
Owner Responsibilities for Late Rentals
When a rental becomes late, the owner is responsible for managing the next steps. Owners may take action such as:
- Requesting the vehicle back immediately.
- Blocking extensions when payments are overdue or the driver is behind on balances.
- Disabling or repossessing the vehicle using their GPS system when the driver is unresponsive.
- Recovering their vehicle if the driver continues to ignore messages.
- Reporting the vehicle stolen if the driver fails to communicate or return the vehicle.
- A police report is required before TripCity can proceed with any stolen-vehicle claim process.
The owner is always responsible for retrieving their own vehicle. TripCity does not dispatch recovery teams.
When TripCity May Terminate a Rental
TripCity may close or terminate a rental if:
- A vehicle has been late for an excessive number of days, and
- No police report has been filed, and
- The owner has not taken proper recovery steps.
- TripCity may also restrict or block renters who repeatedly fail to return vehicles on time.
